Privacy: Client Portal

Client Portal is the client portal of AM25, S.A.S. de C.V. (hereinafter, “AM25”), which allows clients to view projects, documents, deliverables, payment requests, and contracted services, as well as submit requests and communicate with support.

Access and Identity Information

Client Portal uses Gate IdP to authenticate users. It receives the account identifier, first and last names, email address, profile photo when available, and organization and authorship information. It uses these data and the link to the client to identify the user, maintain their session, and determine the information they may access.

Client access is currently limited to the active owner account of an active client organization, linked as the owner of the corresponding client. Membership in the organization does not in itself grant portal access. AM25 personnel with the appropriate permissions may establish this link.

Use of Information

Client Portal processes the information necessary to display projects, published timelines, quotations, proposals, contracts, receipts, electronic tax documents, deliverables, payment requests, and subscriptions relating to the client’s commercial relationship with AM25.

The processing of personal data is governed by AM25’s Data Protection Policy. This policy supplements those provisions with details specific to Client Portal. The mechanisms for exercising rights concerning personal data are those established in that policy.

Support and Plan Change Requests

Support requests may include a subject, category, description, related subscription, messages, and attached images or PDF files. This information is transmitted to KIZUNA™ Ops to address requests and retain their conversation and history. Messages and metadata are stored in its database, and attachments in Cloudflare R2. Client Portal relays uploads and downloads without maintaining its own file repository.

Plan change requests use the name, email address, language, and requested plan to communicate the request to AM25 by email. Postmark processes the information necessary to deliver the message, and Cloudflare Turnstile verifies the form to protect it against abusive automated use. Submitting a request does not automatically change the subscription.

Sessions and Technical Records

Client Portal uses authentication cookies and session validation through Gate IdP to maintain authorized access. Certain technical records of connections, disconnections, and joining or leaving support channels are generated in the real-time update service. These records are used to operate and diagnose the service.

Integrations and External Destinations

Client Portal integrates with Gate IdP for authentication and with KIZUNA™ Ops to retrieve commercial information and handle support operations. Real-time updates use AM25’s own service, which sends change notifications so that the portal can retrieve the corresponding information again.

Payment and deliverable links may lead to Content Hub or other configured destinations. Client Portal does not have its own form for collecting payment card details. Processing carried out by destination services is governed by their respective privacy policies.

Retention and Deletion

Client Portal does not have its own database or persistent storage for documents, messages, or attachments. The retention and deletion of commercial and support information stored in KIZUNA™ Ops are governed by AM25’s Data Protection Policy, according to the purposes of processing and applicable obligations. Revoking portal access does not automatically delete that information or imply its indefinite retention.

Artificial Intelligence and Other Uses

Client Portal does not use artificial intelligence directly. Information in KIZUNA™ Ops, including support messages and attachments, may be processed through artificial intelligence when authorized personnel use KIZUNA™ Assistant to access it, according to the available permissions and features. This does not imply automatic processing of all conversations or files.

AM25 does not sell data processed through Client Portal or use it for advertising or training artificial intelligence models.
